About the Role
The Administrative Director's primary responsibility is to ensure the efficient operation of musical activities, including the Summer Institute and year-round programs. Managing and organizing YMCO’s rehearsals, concerts, meetings, and events are produced seamlessly.
Supporting administrative and office functions, attending meetings, storage organization, and implementing new strategies for overall operations.
Reports to the Executive Director The Administrative Director will work closely with the Executive Director, YMCO staff, the faculty, students, and parents to fulfill operational and logistical needs. The Administrative Director should be well-organized, a good communicator, and comfortable with technology.
Requirements
Responsibilities:
Booking facilities for rehearsals and concerts.
Managing rehearsal and performance venues, including the set-up and teardown of instruments and audio equipment.
Ensuring safe transportation of instruments and equipment.
Manage instrument and equipment inventory.
Improve administrative processes to ensure YMCO is operating effectively and efficiently towards meeting the organization's goals and objectives.
Faculty, Staff, Parent and Student arrangements, scheduling and general support.
Finance, Budgeting, and Payroll experience.
Develop, update, and communicate a schedule for the usage of facilities and other programs.
Support the Development Manager regarding logistics related to special fundraising events.
Collaborating with contracted staff, instructors, and vendors to ensure timely execution of accounting and payroll processes.
Manage the library and archive of sheet music.
Skills and Qualifications:
3–4+ years of experience working in administration management, educational institutions, and music performance production work (orchestral experience is a plus).
Passion for working with youth through YMCO’s mission.
Excellent project management skills and comfortability in managing multiple projects with different timelines.
Excellent communication skills are essential.
Extensive experience in budget management.
Keen attention to detail is essential.
Demonstrated expertise in spreadsheet management.
In addition to knowledge of musical instruments.
Team-player, communicative, and collaborative.
Proficiency in using office and online tools, specifically Google Suite.
Physical Requirements:
The Administrative Director must have a California driver’s license, be of age to rent moving trucks or passenger vans, and pass a background check.
Performing this job requires the use of tools or controls, moving musical equipment, communicating, standing, climbing ladders, driving trucks, or passenger vans. Lift and manipulate up to 40 lbs.
Compensation:
This position is full time (40 hours a week)
Compensation is competitive and commensurate with responsibilities and experience, with a salary range of $55,000-65,000 (Yearly)
